Privacy Policy

Effective Date: August 4, 2026 | Last Updated: October 24, 2026

This Privacy Policy explains how Kind Ledger LLC collects, uses, shares, retains, and protects information received through this website and related business communications.

1. About This Policy

Kind Ledger LLC (“Kind Ledger,” “we,” “us,” or “our”) respects your privacy.

This policy applies when you:

  • Visit kindledger.com
  • Contact us or request information
  • Submit a general inquiry
  • Access our resources
  • Communicate with us through website-related business channels

Kind Ledger provides cannabis management accounting and controller support. Our work may include a Cannabis Finance Control Assessment, reconciliation across systems, targeted cleanup and close stabilization, inventory and cost of goods sold support, and agreed-upon reporting or cash planning.

This policy covers our website and related business channels. Client work is also governed by the applicable engagement agreement, statement of work, confidentiality terms, and secure intake process.

2. Information You Choose to Provide

We may collect information you voluntarily provide, including:

  • Your name, business name, job title, role, and company information
  • Your email address and other contact details
  • Your state, license type, business type, service interests, and other information related to your cannabis operation or professional role
  • Messages, questions, notes, and information submitted through website forms, email, or other business communications
  • Information provided when asking about the Cannabis Finance Control Assessment, another defined Kind Ledger service, or a general business question
  • Other information you choose to share with us

3. Please Do Not Send Sensitive Records Through Public Channels

Do not submit confidential financial, operational, or personal information through general website forms or ordinary email.

This includes:

  • Bank statements
  • Tax returns or tax workpapers
  • Payroll records
  • Point-of-sale exports
  • Inventory or seed-to-sale records
  • QuickBooks Online or general-ledger files
  • Account details
  • Compliance records
  • Other confidential business records

Before requesting engagement records, Kind Ledger will confirm the scope, engagement terms, and a designated secure intake process.

Use only the specifically approved process to share records. Ordinary email does not become an approved channel after a secure intake process has been arranged.

Never send passwords or EFTPS PINs.

4. Information Collected Automatically

When you visit the website, hosting systems, server logs, cookies, tags, pixels, and similar technologies may process technical information.

This information may include:

  • Your IP address
  • Your general location
  • Browser and device characteristics
  • Pages you visit
  • Referring pages
  • Dates and times
  • Website interactions
  • Online identifiers

The information processed depends on the technologies and website features currently in use. Google, Meta, or other website service providers may receive some of this information.

Device identifiers and website activity are not necessarily anonymous simply because they do not include your name. Section 5 explains the website technologies in use and the current scope of our tracking review.

5. Cookies and Similar Technologies

Google Tag Manager manages our website tags. Google Analytics 4, when enabled with your Analytics consent, measures visits and interactions so we can understand website use and improve public content. Google receives the website-activity and device information described above. This analytics-only rollout does not activate Google Ads or Meta advertising tags.

Current Review

We are currently reviewing the website’s tracking configuration.

We have not yet confirmed every active measurement or advertising feature, all information transmitted, or how every browser and server connection responds to visitor privacy choices.

Basic Website Functions

Cookies and related technologies may support:

  • Website operation
  • Security
  • Performance
  • Form functionality
  • Visitor preferences

These basic functions are different from analytics and advertising.

Google Tools

Google Tag Manager manages website tags, which are small pieces of code.

When enabled, Google Analytics may measure activity such as page views, visit sources, and website interactions. Google advertising features, when enabled, may support advertising measurement and personalization.

The presence of Google Tag Manager does not mean that every Google service or advertising feature is active.

Meta Tools

The Meta Pixel may send information about website visits, device characteristics, and interactions to Meta.

Meta may associate that information with other information it holds and use it for measurement, personalization, and advertising in accordance with its policies and applicable settings.

If enabled, a Meta Conversions API connection may also send website-event information through a server connection rather than through the visitor’s browser alone.

Our Information Boundaries

Kind Ledger’s policy prohibits using the following information as analytics or advertising inputs:

  • Inquiry-form contents
  • Contact details submitted through a form
  • Confidential client or prospect records
  • Account details
  • Passwords
  • EFTPS PINs

This restriction also applies to advertising-matching features.

Your Choices and Provider Information

Section 13 explains the available privacy-request and preference options.

Google and Meta also explain their information practices and controls in their own privacy notices. Publishing a website privacy notice does not, by itself, provide consent for tracking.

6. How We Use Information

We may use information to:

  • Respond to inquiries, messages, and communication requests
  • Evaluate whether our services may be a good fit
  • Discuss the scope, timing, responsibilities, and next steps for a Cannabis Finance Control Assessment or another defined service
  • Provide requested resources or information
  • Operate, maintain, secure, and improve the website
  • Manage business relationships, vendor relationships, and professional communications
  • Prepare for or manage an engagement after the appropriate scope and terms have been agreed upon
  • Coordinate with professional advisors when authorized or requested
  • Maintain business, security, opt-out, legal, and compliance records
  • Protect legal rights, safety, security, property, and other legitimate interests
  • Understand website traffic and interactions
  • Improve our public content
  • Evaluate advertising performance when advertising features are enabled

7. Marketing and Business Communications

If you contact us, submit a form, request information, or otherwise provide your contact information, we may use it to respond and send relevant business communications.

We may send follow-up messages related to:

  • Your inquiry
  • Information you requested
  • Your interest in an Assessment
  • Kind Ledger services

Submitting the public Contact form does not automatically enroll you in a marketing list.

If Kind Ledger sends marketing communications in the future, you may opt out by:

  • Using the unsubscribe instructions in the message
  • Replying with an opt-out request
  • Contacting us at angela@kindledger.com

After you opt out of marketing, we may still send appropriate transactional, relationship, legal, security, or service-related communications.

8. When We May Share Information

We do not sell sensitive client records or financial records.

We may share information in the limited circumstances described below.

Service Providers and Vendors

We may share information with vendors that help us:

  • Operate the website
  • Host data
  • Process forms
  • Deliver email
  • Maintain cloud storage
  • Support cookie-consent tools
  • Provide other business services

Professional Advisors

We may share information with accountants, attorneys, tax advisors, insurance providers, consultants, or other professional advisors when needed for business, legal, tax, insurance, or professional purposes.

Website Measurement Providers

Google and Meta may receive device and website-activity information through the technologies described in Section 5.

Their processing may include purposes described in their own privacy notices. This processing is separate from delivering an inquiry to Kind Ledger or transferring records for an agreed-upon engagement.

Our policy against selling sensitive client or financial records does not mean that no website-activity information is disclosed.

Coordination You Authorize

At your request or with your authorization, we may coordinate with your:

  • CPA
  • Tax preparer
  • Tax attorney
  • Attorney
  • Consultant
  • Fractional CFO
  • Other professional advisor

Legal Compliance and Protection

We may disclose information when required by law, subpoena, court order, or another lawful request.

We may also disclose information when we reasonably believe it is necessary to protect legal rights, safety, security, property, or other legitimate interests.

Business Transfers

If Kind Ledger is involved in a merger, acquisition, financing, reorganization, sale of assets, or a similar business transaction, information may be transferred as part of that transaction, subject to appropriate protections where applicable.

Aggregated or De-Identified Information

We may use or share aggregated or de-identified information that does not reasonably identify you or your business.

Removing a name does not automatically make client information nonconfidential. Public examples based on client information require separate approval and a review of what may be disclosed.

This provision does not authorize entering confidential client information into generative AI tools.

9. Third-Party Tools and Services

We use third-party providers to support website hosting, website content, inquiry handling, email delivery, business communications, cloud storage, and related operations.

These providers and tools may include:

  • WordPress
  • Elementor
  • Elementor email-delivery tools
  • Microsoft 365
  • Cookie-consent services
  • Payment or invoicing systems
  • Social and professional platforms such as LinkedIn

Google Tag Manager and the Meta Pixel are addressed separately in Section 5.

The use of Google Analytics, Google advertising features, and Meta server-side event sharing depends on which features are actually enabled. This policy does not state that all of these features are confirmed to be active.

Service providers may process information according to their service terms, privacy policies, and settings. Kind Ledger’s handling of information remains subject to this policy and any applicable engagement terms.

If you follow a link to an external website, your activity may also be governed by that website’s privacy policy and terms.

10. Client Confidentiality, Automation, and AI

Client confidentiality is governed by the applicable engagement agreement, confidentiality terms, secure intake process, and agreed-upon data controls. This Privacy Policy does not replace those agreements.

Kind Ledger uses engagement records only for the agreed-upon work, which may include:

  • A Cannabis Finance Control Assessment
  • Reconciliation
  • Targeted cleanup
  • Close coordination
  • Inventory and cost of goods sold support
  • Management reporting

Send engagement records only through the specifically approved secure process. Never send them through public forms or ordinary email.

Kind Ledger uses automation and AI selectively for appropriate nonconfidential work.

Confidential client or prospect information is never entered into generative AI tools, including embedded features or tools used by subcontractors.

Reconciliations, conclusions, and deliverables remain subject to:

  • Human review
  • Validation against source evidence
  • Defined client-data controls

11. How Long We Keep Information

We retain information for as long as reasonably necessary for the purposes described in this policy.

These purposes may include:

  • Responding to inquiries
  • Managing business relationships
  • Providing services
  • Maintaining business records
  • Meeting legal and accounting obligations
  • Resolving disputes
  • Maintaining security
  • Honoring opt-out requests

Website inquiries received by email are retained in Kind Ledger’s email environment.

Website hosting, form-processing, email-delivery, security, and backup services may also retain information or operational metadata according to their settings and policies.

Analytics and advertising providers may retain information under their applicable terms, settings, and policies.

Deleting browser cookies or changing a preference does not automatically delete information already held by Kind Ledger or another provider. You may make a privacy request as described in Section 13.

Client records may be retained according to:

  • The applicable engagement agreement
  • Professional obligations
  • Legal requirements
  • Document-retention practices
  • Reasonable business needs

We may retain limited information after a deletion request when necessary to comply with the law, protect legal rights, complete a transaction, maintain security, resolve a dispute, or honor an opt-out request.

12. How We Protect Information

We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.

However, no website, email system, storage system, or transmission method can be guaranteed to be completely secure.

Do not send sensitive financial, tax, payroll, point-of-sale, inventory, seed-to-sale, QuickBooks Online, general-ledger, compliance, or other operational records through general website forms or ordinary email.

If records are needed, Kind Ledger will confirm an appropriate secure intake method after the scope and engagement terms are clear.

Never send passwords or EFTPS PINs.

13. Your Choices and Privacy Requests

You may contact us to request access to, correction of, deletion of, or another action involving information we maintain about you.

These requests may be subject to legal, professional, contractual, security, and business-recordkeeping limitations.

You may also ask us to stop sending marketing communications.

To make a privacy request, email angela@kindledger.com. We may need to verify your identity and business relationship before responding.

When available, you may use the website’s Cookies button to review your options. You may also manage browser cookies and use the privacy or advertising controls provided by Google and Meta.

These controls operate at different levels and may apply to a particular browser, device, account, or service.

Please keep in mind:

  • Browser cookie controls may not prevent separate server-side transmissions.
  • Browser controls may not prevent every form of measurement that does not rely on cookies.
  • Changing a preference does not automatically remove information that has already been received.

Contact angela@kindledger.com with questions or to make a request under applicable privacy law. Do not include confidential records or credentials with your request.

Depending on your location, you may have additional rights under applicable privacy laws. We will honor those rights to the extent required.

14. Children’s Privacy

This website is intended for adults and business users. It is not intended for children, and we do not knowingly collect personal information from children under 13.

If you believe a child has provided information through the website, please contact us so we can take appropriate action.

15. External Links

Our website may link to third-party websites, platforms, resources, social media pages, or other services.

Kind Ledger does not control these third-party services and is not responsible for their:

  • Content
  • Security
  • Privacy practices
  • Availability
  • Terms

Please review the privacy policy and terms of any third-party service you choose to use.

16. Updates to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of the page will identify the most recent version.

This policy explains our information practices. Reading it or continuing to browse the website does not, by itself, provide consent when separate consent is required.

When required, we will provide additional notice or obtain consent before changing how information is handled.
